The Five Invoice Details Amazon Actually Checks

Most rejected invoices aren't fake. They're just missing one of five things Amazon looks for every time.

1. It has to be from a wholesaler or the brand, not a retail receipt

A screenshot from a retail website, a Costco receipt, a Walmart order confirmation, none of these count. Amazon wants proof you bought from somewhere set up to supply sellers, a distributor or the brand itself. If your only paperwork is a consumer purchase, this is usually why the appeal failed, not the writing.

2. The quantity has to cover what you actually sold

This one trips up a lot of legitimate sellers. If your invoice shows 50 units but you've sold 80 on that ASIN, Amazon sees a gap it can't explain. The invoice needs to show enough stock to account for your full sales history on that product, not just some of it.

3. It has to be dated within the last 365 days

An invoice from three years ago, even a completely genuine one, won't satisfy this. Amazon wants recent proof of your supply chain, not historical evidence that you once bought the right stock.

4. The product details need to match your listing

Model numbers, product names, sometimes even the packaging description, these need to line up with what's actually on your Amazon listing. A generic line item like “electronics x50” won't cut it if your listing is a specific model of headphones.

5. The supplier's contact details need to be on there

Amazon wants to see who you bought from, properly, a business name, address, and way to contact them. An invoice with just a logo and a total doesn't give Amazon anything to verify against.

What if your invoice is missing one of these?

Don't edit it, don't backdate it, and don't fill in the gaps yourself. Amazon can usually tell, and it makes things worse. The only real fix is going back to your supplier and asking them to reissue the invoice with the correct details. It's slower, but it's the only version of “fixing” an invoice that Amazon will actually accept.
